How to Refund a Registration Payment

You must have "Full Access" or "Limited Access - HQ Tools" permissions to set up your processor settings.

NOTE: Only organization "Admins" can process a refund within 180 days of the transaction. SportsEngine cannot process a refund on behalf of an organization or for an organization's members.

  • A percentage of the transaction fee is refunded, corresponding to the amount refunded. For full refunds, 100% of the transaction fee is refunded.

  • Refunds are returned to the original payment source (card, bank account, etc.)

  • Refunds can take up to 3-5 days to process.

  1. Sign in to "SportsEngine HQ."

  2. Find Registration payments in either location:

    • Financials > Orders.

    • Financials > Transactions

Refunding from Orders

  1. Click on the Financials tab and choose Orders.

  2. Search for the Order by sale ID, customer, or registration name, or filter/sort the columns.

  3. For the order you are refunding, click the Sale ID.

  4. Click Issue Refund.

  5. Choose the payment you'd like to refund and the amount.

  6. Select Yes or No for Do you still need to collect this money in the future?

    • If No, add any notes and click Refund.

  7. If Yes, add any needed notes and click Next.

  8. Enter the date to recollect the refunded amount.

  9. Click Refund.

Refunding from Transactions

Only customers using the new financial tools will find registration payments in Transactions.

  1. Click on the Financials tab and choose Transactions.

  2. Use the search bar or the Filter Status option to find the transaction, and then click on the Sale ID number under the Sale column.

  3. In the top-right corner, click Issue Refund.

  4. Choose the payment to refund, then set the amount.

  5. Select Yes or No for Do you still need to collect this money in the future?

    • If No, add any notes and click Refund.

  6. If Yes, add any needed notes and click Next.

  7. Enter the date to recollect the refunded amount.

  8. Click Refund.

IMPORTANT! We do not recommend utilizing 3rd party applications (i.e., Venmo or PayPal) to issue refunds for registrations or invoices.

We recommend utilizing SportsEngine refunding, a check, or cash once the funds have settled in your bank account. If you have questions, please contact your Account Manager.
