How to Message Un-Registered Members

Need to send a message to the members who have yet to register, without bugging those who have? Follow the steps below to learn how!

Before we get started, we need to meet a few requirements that allow this process to work.

  1. You have a previous player registration.

  2. You have a new registration with at least one entry.

These are required so that the Members filter has a set of criteria to filter. If your new Registration does not have an entry, you will not be able to filter by these criteria and will not be able to set up the smart group as needed.

Now let’s get started!

  1. Navigate to SportsEngine HQ, then click the Directory tab in the Members dropdown.

  2. To the right of the search bar, click Filter.

  3. Select a previous registration as the source and then select Registration Submitted in both the field and logic dropdowns.

    • NOTE: You may get a warning message that this Registration is not in your history. You can choose to include it, but it will take some time to compile the data. You will get an email once it is ready to be used in your filter.

  4. Click Add Filter, choose And.

  5. Select the current registration as the second source. Select Registration Submitted in the field dropdown, and choose Registration Not Submitted in the logic dropdown. This step may also take time to compile data, depending on the size of the group.

  6. Finally, click Add Smart Group, add a "Name" and click Add to save the group.

  7. Once the group has loaded, send a reminder to register by clicking Send Message.

  8. Enter the subject and message, and click Send.

Because this group was created as a Smart Group, it'll automatically update, removing members who have registered and leaving those who have not.

To select the smart group to send an email going forward:

  1. From the left navigation menu, click Members > Directory.

  2. Click the Groups sub-tab.

  3. Click on the "Name" of the desired group.

  4. In the upper right corner, click Message.

  5. Fill out the subject and message, and click Send.
